From material request to supplier quotation.

Step 01

Prepare your material list and specification

To help suppliers quote for the same requirements, include the following details:

• 01Line items — every product on its own line: description, dimensions, standard (e.g. EN 14411, EN 997).
• 02Quantity and unit — m², pieces or sets; state the quantity and unit for each material item.
• 03Delivery terms — destination country, preferred Incoterms, required delivery date or date range.
• 04Documents — drawings, a BOQ file or datasheet requirements, if any.

Step 02

Share your material request

List the materials as separate items. Include dimensions, quantities, intended use and delivery details so manufacturers and suppliers can prepare quotations. Identify any requirements that still need confirmation.

Concrete, insulation, tiles, building-services products and landscaping materials require different details. Use the relevant material guide to check that your request includes the information suppliers need.

Step 03

Review the product and commercial terms

When reviewing quotations, check the following information:

• aSpec compliance — per line: compliant / with alternative / out of scope.
• bPricing unit — the quoted quantity, unit and currency.
• cIncoterms — the rule and the named place or port.
• dPackaging — export specification.
• eLead time — production time and planned dispatch date.

Ask the supplier to clarify missing information or differences. Compare quotations against the same materials, quantities and delivery requirements.

Step 04

Compare the differences and speak with suppliers

Assess product specifications, total cost and delivery time together. Ask suppliers about alternative products, missing items or charges priced separately.

Agree sale, payment and delivery terms directly with your chosen supplier. Before ordering, confirm the agreed products, quantities and terms in writing.
